Draft for legal review

The parts in square brackets are completed before launch.

1.Who we are

[Company legal name], [registered address], NIF [tax number] (“Suitmade”, “we”) runs this website and makes your garments. We decide how your personal data is used.

For any question about your data, write to [privacy contact email].

2.What we collect

2.1Your account

Your name, email address, phone number and password, which we keep only as a secure hash. Also your language and currency preferences. If you order without an account, we keep a guest record with the same details for your order.

2.2Addresses

The delivery and billing addresses you enter. While you type an address, Google suggests completions, so the letters you type are sent to Google for that purpose.

2.3Measurements and fit

The measurements you save, including height and weight when you give them, measurements estimated from your height and weight, your fit preferences and your notes. A tailor may correct them after a video measurement. A measurement profile can hold the measurements of someone you order for, such as a partner or a child.

2.4Orders and payments

Your suit designs, orders, deliveries and fit cases, including the messages and photos you send us about them. Stripe processes your payment: we never see or store your card number. We keep each payment's reference, amount and status.

2.5Emails

We email you about your account, your orders, their delivery and your video measurement. Our email provider sends them for us.

2.6The video measurement

The call runs directly between your browser and the tailor's when your network allows it. Otherwise it passes through our relay server, which only forwards it.

We do not record the call's sound or video, and we do not keep the chat messages. We keep the booking and a log of when each side joined and left.

2.7Photos during the call

The tailor may ask to take a still photo of your video to help with your measurements. Each photo is taken only after you allow it on your screen. Photos are kept privately with your order, seen only by our staff, and deleted 90 days after the order is delivered, cancelled or fully refunded.

2.8Your browser

We use only the cookies the site needs: one keeps you signed in, or keeps your guest session, for up to 7 days, and others remember your language, currency and measurement unit for up to a year.

While you design a suit, your design and measurement drafts are kept in your browser for that tab only. We use no advertising or analytics cookies.

When you open the site, we send your IP address to ip-api.com to find your country, so the site can start in your currency and measurement unit. Each page also loads Google's maps script for the address suggestions, so Google receives your IP address and browser details when you visit.

3.Why we use it

3.1To make and deliver your order

We need your details, measurements, addresses and payment to make your garments and deliver them. This is necessary for our contract with you.

We take a photo during a video measurement only with your consent for that photo. You can refuse any photo, and ask us to delete one at any time.

3.3Because the law requires it

We keep order and payment records for as long as tax and accounting law requires.

3.4To protect our service

We keep logs of sign-ins and changes to orders to prevent fraud and to resolve problems, for [log retention period]. This is our legitimate interest.

4.Who receives it

Stripe, to take your payment. Google, to suggest addresses: its maps script loads on every page, so Google receives your IP address and browser details. ip-api.com, which receives your IP address when you open the site, to find your country. [Hosting provider], which hosts our website and data. [Email provider], which sends our emails. The carrier that delivers your order receives your name, delivery address and phone number.

Some of these companies process data outside the European Union, under the European Commission's standard contractual clauses. We never sell your data.

5.How long we keep it

5.1Your account

As long as you keep your account, with your addresses and measurement profiles. A guest record with no order and no checkout is deleted after 30 days without use. A guest who placed an order is kept with that order, as below; one who started a checkout without ordering is kept [retention period for unfinished checkouts].

5.2Measurements

Until you delete them or close your account. Measurements used for an order stay with that order.

5.3Orders and payments

For as long as tax law requires, currently [retention period confirmed by the accountant]. Fit cases, with their messages and photos, stay with the order.

5.4Call photos and call logs

Photos: 90 days after the order is delivered, cancelled or fully refunded. Call logs stay with the order.

6.Your rights

You can ask us for a copy of your data, to correct it, to delete it, to limit or object to its use, or to receive it in a format you can take elsewhere. You can withdraw your consent to a photo at any time.

Write to [privacy contact email]. We answer within one month. You can also complain to the Comissão Nacional de Proteção de Dados (CNPD), the Portuguese data protection authority.

7.Changes to this policy

When this policy changes, we update the date at the top of this page.
